Privacy Policy
Effective: Thursday, October 29, 2026
GlassRef is a service of PHM Enterprises LLC, a Florida company in the United States (“we”, “us”). This policy covers the GlassRef app (on the web, iPhone and iPad) and this website. Using GlassRef is also covered by our Terms of Service.
The short version
- We do not sell your data, to anyone.
- No advertising, and no analytics or tracking tools from other companies, in the app or on this website.
- The camera readers work on your device. Photos are not uploaded; only the text read from them is.
- We are paid by company subscriptions, not by using your data.
1. What we collect
Your account
- Your name, email address and username, and your password stored only as a secure hash. If you use a passkey, a record of the device it belongs to.
- Optionally a mobile number, if you choose to get sign-in codes by text (see section 4).
- Your time zone, language and app settings, the company you belong to and your role in it.
Your company
- The company details an admin enters, such as its name, address, phone, email, website and logo. These appear on the spec sheets and submittals your company produces.
- Which plan the company has, its trial and renewal dates.
Your work
- Makeups, spec sheets, submittals, projects (name, location, client, firm, notes), favorites, product groups, prices, compliance records and saved scans.
- This work is shared with the other users in your company. That is the point of the app.
- When you send a submittal or share a makeup with another company, they see it along with your name and company name.
- When you create a share link for a makeup, or issue a spec sheet with a verification code, anyone with that link or code can see it, including your name, your company name and the date.
- Posts in the community forum are visible to users of other GlassRef companies; posts in your company’s own forum spaces are visible only inside your company.
The stamp and label readers
- On iPhone and iPad, GlassRef can read the stamp etched on a piece of glass or an NFRC label with the camera. The text is recognized on your device by Apple’s built-in text recognition. The photo is not uploaded to us or to anyone else.
- Only the recognized text is sent to GlassRef to be matched to products. If you save a scan, we keep that text, your note and the project you file it under.
Purchases
- Web payments are handled by Stripe and billed by PHM Software, a registered trade name of PHM Enterprises LLC (phmsoftware.com/terms). We keep the Stripe customer and subscription references, the plan and its dates. We never see or store your card number.
- Purchases in the iPhone and iPad app are made with Apple, which handles the payment.
Technical data and support
- Sign-in and security records: IP address, browser or app version, device type, sign-in method and time.
- A history of changes to records (who changed what, and when), the glass and makeups you viewed recently (to show them back to you), and how often each part of the app is used.
- Bug and data reports you send, including the page address, your browser details and any screenshot you attach.
- A log of the emails we send you, so we can check they were delivered.
- What you write to us when you ask for help.
This website
- If you use the form on this website, your name and email, and optionally your role, company and message, so we can reply and tell you when GlassRef opens.
What we do not collect
- Your location. GlassRef does not read your device’s location.
- Your contacts, calendar or other files on your device.
- Your card number.
2. How we use it
- To run GlassRef for you and your company: store and show your work, produce your documents, and deliver what you share.
- To send messages you need: invitations, sign-in codes, a makeup or submittal shared with you, alerts when the published data behind your sheets changes, trial and plan notices.
- To keep the service secure, fix problems and answer support requests.
We do not use your work for advertising, and we do not build profiles of you for anyone else.
3. Who we share it with
Only the service providers we need to run GlassRef, and only what they need:
| Who | What for | What they get |
|---|---|---|
| Our hosting provider | Servers and database | They operate the computers your data is stored on. |
| Stripe | Web payments | Billing details and plan status. |
| Apple | Purchases in the iPhone and iPad app | Apple runs the purchase. |
| SendGrid (Twilio) | Email delivery | Your email address and the message. |
| Twilio | Text-message sign-in codes | Your mobile number and the code, only if you choose texted codes. |
| Address suggestions on the Company details screen, and spam protection (reCAPTCHA) on this website’s form | The address text being typed; for reCAPTCHA, the browser and interaction signals Google uses to tell people from bots. |
GlassRef uses AI from Anthropic to help draft summaries of manufacturers’ product lines. It is sent only manufacturer and product names, never your account or your work.
Product data is downloaded from the International Glazing Database (IGDB) run by Lawrence Berkeley National Laboratory. Nothing about you is sent to them.
We may disclose data if the law requires it (for example a valid court order). If that happens we will tell you, unless the law prevents us.
4. Text messages
If you add a mobile number and choose to get codes by text, GlassRef texts you one-time codes to sign in or reset your password. Nothing else, and never marketing. Message and data rates may apply. To stop, remove your mobile number or choose another sign-in method. We do not sell or share your mobile number or text consent with anyone for their marketing.
5. Cookies and storage
The app uses cookies and your browser’s storage only to keep you signed in, remember your language and settings, and remember your recent searches. The iPhone and iPad app keeps your sign-in in the device keychain and can save spec sheets on the device for offline use. There are no advertising or analytics cookies, in the app or on this website.
6. Your choices and rights
- Correct: edit your profile and your company’s work in the app.
- Copy: download spec sheets as PDFs in the app, or email support@glassref.com for a copy of your data.
- Delete: in the app, go to My Account → Settings → Privacy → Delete My Account, or email support@glassref.com from the address on your account. If you work for a company, the request goes to its admins, who remove your login. If you are the company’s only admin, it is a request to close the company account, which we confirm with you by email.
Depending on where you live (for example California, or the EU and UK), you may have more rights to know, access, correct, delete or move your data, and to complain to a regulator. Email support@glassref.com to use any of them. We will not treat you differently for doing so.
7. How long we keep it
We keep your data while your account or company is active. Most items you delete are kept in Recently Deleted for 30 days, then removed permanently. Sign-in records and change history are removed after 90 days.
When a company removes a user, their login is switched off. Their name stays on the records they worked on, such as issued spec sheets, because those are the company’s records. To have your personal details erased as well, email support@glassref.com.
When a company account is closed, we delete its data within 30 days, except records we must keep by law (such as billing and tax records), and backups, which expire on their normal schedule.
8. Security
Data travels encrypted (HTTPS), passwords and sign-in codes are stored only as secure hashes, and each company’s work is kept separate from every other company’s. No system is perfectly secure. If a breach ever affects your data, we will tell you promptly.
9. Children
GlassRef is a professional tool and is not directed to children. We do not knowingly collect data from anyone under 18. If you believe a child has an account, email us and we will remove it.
10. Changes and language
If we change this policy in a way that matters, we will tell you in the app or by email before it takes effect, and update the date above. If this policy is shown in another language, the English version governs.
